Freelance Invoice Workflow: From Scope to Paid
A reliable invoice workflow begins before the invoice is created and ends only after payment is recorded and the project files are reconciled.

The short answer
For every job, record the legal client name, approved scope, billing trigger, currency, taxes, payment terms, and contact. Issue a numbered invoice promptly, schedule reminders, record payment, and review outstanding invoices once a week.
The seven-step workflow
- Confirm billing details. Capture the client's legal name, address, billing contact, purchase-order requirement, currency, and tax information.
- Define the trigger. State whether you invoice in advance, at milestones, monthly, or on delivery.
- Create the invoice. Use a unique number, issue date, due date, itemized description, amount, taxes, payment instructions, and agreed terms.
- Quality-check it. Match the invoice to the accepted proposal or contract and confirm the recipient.
- Send and record it. Log the sent date, due date, amount, status, and a link to the final PDF.
- Follow up. Send a courteous reminder before or just after the due date, then escalate according to the agreement.
- Reconcile and close. Record the payment date, fees, currency difference, and final status.

When a template is enough
A document template plus a spreadsheet register can work when volume is low and you consistently record every change. It becomes fragile when you miss reminders, re-enter tracked time, need online payments, or cannot produce reliable income and tax reports.

Common errors
- Using a description that does not match the approved scope.
- Leaving the due date or currency ambiguous.
- Sending to the project contact instead of accounts payable.

- Marking an invoice paid before reconciling the actual deposit and fees.
